The front desk is responsible for assisting patients or directing them to an appropriate office resource. This position requires a person who can work in a busy often congested and stressful environment. The front desk is the first contact with our patients and must be extremely courteous, patient and have a neat appearance. The skills that are required to excel in this position are: the ability to work unsupervised; exemplary customer service skills, good communication, math and computer skills. The practice makes every effort to maintain a staff that is adequate in number to handle flow of patients in the office. At times, due to illness or staff turnover, we are short staffed and the ability to work as part of the team and be flexible is essential.
Once trained, front desk personnel should be well versed in the following procedures and office policies including but not limited to:
Opening and/or Closing the office;
Check In Procedures;
Check Out Procedures;
Proper routing of incoming telephone calls and patient inquiries;
Proper use and application of Practice software;
Administrative Tasks associated with the Front Desk;
Release of Information & Patient Confidentiality;
Billing, Payment and Collection Policies;
Insurance Acceptance Policies;
General Office Policies as Outlined in your Handbook;
In addition to the above, you will also be expected to perform additional tasks as directed by your supervisor.
The front desk is responsible for all activity in the waiting area. It is our policy to first address the needs of the patients in the office and then see to the patients on the phone before focusing on the daily administrative tasks. It is our intent that front desk personnel use their knowledge of policies to assist, not stonewall, our patients. If you can not assist a patient using your knowledge of current policy and procedure, you are expected to refer them to your supervisor or the practice manager.
Sitting: Continuously up to 10 hours. Alternates frequently to walking and standing.
Lifting: Occasionally up to 25lbs
Fine Eye to Hand Coordination: Continuously
